Use the connected DiaryCare staff app
Sign in on Android, iPhone, or iPad to view the live clinic diary and create staff bookings when your role allows it.

Before you start
- The DiaryCare Pilot app installed by your test coordinator.
- An existing DiaryCare staff account with access to an active clinic.
Check which app you opened
DiaryCare Pilot is the connected staff app. It is separate from DiaryCare Preview, which always contains made-up records. The pilot shows the real active clinic allowed by your DiaryCare account.
Install on a supported device
- Android testers install the internal APK supplied by the test coordinator.
- iPhone and iPad testers must register the device before installing the internal iOS build supplied by the test coordinator.
- The iOS and Android pilot use the same DiaryCare account and server-authorised clinic scope.
Sign in
- Open DiaryCare Pilot.
- Enter the same email address and password you use for the DiaryCare website.
- If asked, choose an authenticator, SMS, or recovery-code method and enter the code.
- Check the clinic name shown after DiaryCare verifies your current membership.
View the clinic diary
- Today opens with a compact greeting and summarises the appointments in the connected booking range.
- Calendar provides day and week views using the clinic timezone.
- Bookings lets you search the records already supplied to the app and open their allow-listed details.
- A practitioner sees their linked diary. Other staff see only the active clinic and role scope approved by the server.
- Private Google Calendar time can appear only as an untitled busy interval.
Create a booking on the connected app
When your role and clinic settings allow manual bookings, New or the plus control opens a three-stage flow for a confirmed staff appointment on the live clinic diary.
- Choose the service and an existing or new patient. Existing-patient search runs against your clinic records on the server.
- Pick a validated available time. DiaryCare only offers slots that pass the same staff availability rules as the web dashboard.
- Confirm the summary. Optional free-text reason or note is supported; custom service questions are not asked on the mobile flow in this release.
- A successful create opens the booking details and refreshes the diary lists so the new appointment appears.
What still needs the web dashboard
This pilot connects real sign-in, role scoping, responsive Android and iOS layouts, live diary display, and create when allowed. Other appointment changes stay on the website for now.
- Approving, rejecting, rescheduling, cancelling, completing, and marking a no-show remain unavailable in the connected app.
- Use the DiaryCare web dashboard when you need one of those lifecycle changes on a live appointment.
- The app does not replace a failed server response with demonstration records.
- Live booking information is kept in memory and cleared when the session ends; it is not saved as an offline patient database.
Sign out or recover access
- Open Settings and select Sign out when the device changes hands or you finish testing.
- If the app says your session ended, sign in again. DiaryCare checks the server when the app returns to the foreground.
- If a saved-session check times out or the device briefly goes offline, select Retry saved session before entering your credentials again.
- Use Forgot password on the DiaryCare website if you cannot remember the password.
- Contact your clinic owner if the wrong clinic, role, or practitioner link is shown.
