Use the calendar
Compare provider schedules, working hours, appointments, and permitted Google Calendar context across the clinic diary.

Open the diary
- Select Calendar in the dashboard.
- Use the date controls to move to the day or week you need.
- Use the provider, status, and location filters to narrow what you are managing. A location filter also narrows the working hours shown.
- Select an appointment to see the patient, service, practitioner, location, and status.
- Select View details when you need the full record or appointment history.
Read the day at a glance
- On a large screen, day view gives every active provider a column on one shared time axis, including providers with no appointments.
- The legend distinguishes working hours, outside working hours, time off or clinic closure, manually unavailable time, appointments, and Google busy time.
- When Google event sharing is enabled, the compact large-screen day block shows the event title and location. Use week view, or the agenda on a smaller screen, to read the full shared event card and open its permitted links or attachments.
- Provider headings show working hours and appointment counts. Select Add to start a booking for that provider and date.
- On a smaller screen, day view uses an agenda and shows each provider’s working-hours and time-off summary above their appointments.
- Week view remains a day-by-day agenda rather than the shared resource grid.
What appears in the calendar
- Confirmed appointments and requests that are waiting for approval.
- Completed and no-show appointments once their appointment time has started.
- Private busy blocks from a connected Google Calendar. They stay untitled by default.
- When the connected practitioner has explicitly enabled event-detail sharing and approved Google's additional read-only permission, staff who can access that practitioner's diary can also see the Google event title, description, location, organiser, attendees and RSVP responses, meeting link, Google Calendar link, attachments, visibility and event-type labels, and whether it is all-day or recurring.
- External Google events are read-only in DiaryCare. Their details are fetched when the web diary loads and are not saved as DiaryCare records; make changes in Google Calendar and reload the diary.
- Only the signed-in practitioner’s diary when the user has practitioner access.
Start a booking from the diary
Select Add beside a provider or in their day agenda. DiaryCare carries the current date and provider into the Service & patient stage, plus the current location when you have filtered by one. You can change those advanced choices before selecting a time.
Android booking preview
The installable Android preview has its own Calendar screen with day and week views, practitioner filters, synthetic appointments, and synthetic private busy blocks. It does not include the web dashboard’s team resource grid. It is a demonstration only: it does not read your clinic diary or connected Google Calendar, and you must not enter real patient information.
