Getting started
Create your business
Create an account, choose your main service, and open a workspace that uses the right language for your business.
For: Business owners
Before you start
- A business email address and the details you want clients or patients to see.
Before you start
You need your business name, the email address clients or patients should reply to, and a short name for your public booking link.
- Choose a business email that your team checks regularly.
- Choose Osteopathy, Physiotherapy, Barbering, or Hair salon. This changes wording across DiaryCare.
- Your booking link can use letters, numbers, and hyphens. For example: greenfield-osteo.
- Choose the timezone where appointments take place.
Create the business
- Select Create an account on the DiaryCare website.
- Enter your personal account details and sign in.
- Choose the service category that best describes your business.
- Enter the business name, reply email, booking-link name, and timezone.
- Choose whether to set up the business yourself or ask for free guided setup.
- Select Create. DiaryCare opens your new dashboard.
Good to know: The person who creates the business becomes its owner. Owner access includes billing and business details.
How the wording changes
- Osteopathy uses osteopathy clinic, osteopath, and patient.
- Physiotherapy uses physio clinic, physiotherapist, and patient.
- Hair salon uses salon, stylist, and client.
- Barbering uses barbershop, barber, and client.
- The owner can change the category later under the business details page.
Use free guided setup
If you request guided setup, DiaryCare records the request and emails your account address with a practical checklist and a secure link back to your dashboard. The questionnaire uses short choices, presets, and repeatable rows so you only need to type details that are specific to your business.
- Choose I’d like free setup help during business onboarding.
- Select the create-and-email-checklist button.
- Open the setup email and select Complete setup questionnaire, or open Setup help from the dashboard.
- Add the team members and locations you want to use for bookings.
- Add your starter services, then choose a working-hours preset and adjust any days that differ.
- Choose a starting booking preset instead of setting every booking rule individually.
- Choose where bookings should appear and tell us whether you need Google Calendar, migration, or follow-up help.
- Review the complete setup summary and send it to the DiaryCare team.
- If an answer needs attention, DiaryCare keeps everything you entered and moves focus to the first highlighted field.
- You can return and update the answers from the dashboard.
- Submitting the questionnaire gives the DiaryCare team a setup brief. It does not automatically change your live business settings.
- Google Calendar is connected later through Google's secure sign-in and permission screen. Do not enter a Google password in the questionnaire.
- SMS is billed per message and is not enabled from a guided-setup answer. The owner must give separate billing consent before it is switched on.
- If you use another system, choose separately whether you want migration help. The team will arrange any transfer through a secure process. Do not enter or paste client or patient names, contact details, clinical notes, or other personal information here.
- Answers submitted through the earlier questionnaire remain available and keep the team and location counts you already provided. You will only be asked to confirm details, such as names, that were not collected before.
Good to know: Guided onboarding is complimentary. Submitting the questionnaire does not start or charge for SMS, migration, or a future paid setup service.
What to set up next
- Add appointment locations.
- Add your osteopaths, physiotherapists, stylists, or barbers and their working hours.
- Create services and assign the right team members to them.
- Check the booking rules, then test the public booking page.
